AdMAX 11.13 (April 2018)
Ad Posting / Payment/Adjustment Posting
Modified to not report an error if we try to create a contract fulfillment record that already exists.
Ad Rerating
Fixed an unrecognized input variable message (PASSXMLDESTMODULE).
Ad Tracker Interface
Modified the page format lookup so that it will find the page format that is valid for the publishing date of the ad.
AdMAX XML Interface
Modified the sending of the Layout Ad Note to take place only if the field has a valid value in it. If it is blank, then the Ad Description will be sent.
When sending all pending ads, this will send ads to SCS/Track and to Layout-8000. In the past, this would have only done SCS/Track.
If the Dummy Width and Height fields are not filled in, then the composed depth of the ad will be sent in their place for Classified Line ads or the Preprint Width and Height will be sent for preprints.
Aging with Charges report
Modified the report so that if a column (like unapplied or uninvoiced) isn't being displayed in the report, they also won't be included in the opening balance.
Commission by Payment Received
Fixed an issue that resulted in the lineage being increased for each extra charge or discount on the ad.
Customer Maintenance
Added the option to do a customer merge from the customer maintenance module. In Customer Maintenance, before selecting a customer, press the <F12> key to get a list of commands.
If you have user access enabled for the Customer Merge, then you will only see the option if you have edit access to Customer Merge (command).
If you have access, you'll be prompted to enter the duplicate account and the merge account. The transactions from the duplicate account will be copied to the merge account. The duplicate account will then be made inactive.
A log is placed in /u/abs_audit/year/MM_custmerge.txt of the records that were changed.
Custom Sales Report
Added the option to specify criteria at the report level in addition to the column level for total reports. The report level criteria can be used to further reduce the number of records selected.
For a record to be selected for the report, it first must meet the criteria on the column, and then it must meet the criteria for the report.
This way, a user can easily modify a report to select only a specific salesperson, customer or product without having to go through each column to set the criteria.
Fixed a problem that prevented users with view access to the Custom Sales Report from being able to see specific reports that they had been granted access to.
Added an Ad Size (Dummy) to the fields that can be calculated. The normal ad size field is based on the billing size.
Fixed a problem that prevented the Agency Status option from being used when creating a revenue total report.
Discrepancy Checking
Changed the default state of the Mark Ads as Run (Now defaults to No) and Always Produce a Report (now defaults to Yes).
The page assignment information will still be updated even if the discrepancy process does not mark the ads as being run. This allows the user to run discrepancy for checking and getting page numbers without locking the ads so that they can't be deleted.
Modified the product id selection process for late ads to take into consideration the effective date of the product in order to display the correct name when a paper and edition number is reused on later products after the first has been expired.
Electronic Statements Module
Modified to always produce a form when a customer number is specified in the selection criteria, even if there are no transactions during the billing period.
Order Entry
Added the option to delete unused versions. Once a version has been saved on an insertion, it can no longer be deleted. The version history is required so that we can keep other systems that AdMAX interfaces to in sync.
When saving ad versions, set the originial image number to match the ad number if it would otherwise be blank.
Added a command option (F12 in the Ad Version List) that will allow a user to assign a new version to every insertion of the ad. This is only available if the ad currently has only 1 version.
Modified the Show Cost Totals window to display a subtotal before the tax amount is displayed.
Payment and Adjustment Processing
Added Contract Adjustment as a list of options when the INSERT key is pressed while inside an open batch.
Over payments to invoices will no longer be automatically converted to an unapplied credit. This was done to allow sites to have greater control of how those transactions are processed.
Payment Based Commission Report
Added the option to display ad numbers instead of invoice numbers when only a single ad appears on the invoice. This would be true for all sites that invoice at the ad level. This option would not be available for sites that invoice at the customer level.
Payment Entry
Changed the desciption for the APPROVE CREDIT CARD icon to Approve CC. It was Calculator before.
Queue Checking
When checking if a queue is a hold queue, now checks if the ad is unassigned to any queue and skips the check if that is true.
Report Control File
Moved the GL reports to the Accounting tab and restored the COMMISSION REPORT to the Commission Tab as that has been deleted in a prior upgrade.
Run Sheet Report
This report is actually a list that is displayed on the screen. The list can be scrolled left or right and exported to a spreadsheet.
Section Maintenance
Made it possible to edit a section after the section has been created.
Set GL Module
Added better checking to follow links when used for GL reporting flag might be toggled on the transaction type and we need to rebuild the GL trans file.
Small Balance Write Off
Added the ability to write off small balances by Invoice Product.
Standard Form (Invoice/Statement/Co-op)
Will only print the aging information if the print aging flag is set in the notices record.
Will now produce an invoice all of the time when a customer number is provided, including times when the invoice will have no transactions on it.
Zoho Extract
This is a new module that we can use to automate the creation of a zoho extract file.
